Who is responsible

The operator of Poker Game Manager is Max Schuringa. For anything on this page, including a request to see or delete your data, write to maxschuringa37@gmail.com.

Why it is processed

Account, game, friendship, group and settlement data is processed because it is necessary to provide the service you ask for when you create an account and use Poker Game Manager. Security, abuse prevention, fault diagnosis and limited service analytics are processed for the operator’s legitimate interests in keeping the service safe, reliable and understandable. Those interests are balanced against users’ privacy and do not permit advertising or cross-site tracking.

A host supplies a guest player’s name, rather than the guest supplying it directly. That limited record is processed for the legitimate interests of the host and the other players in keeping an accurate shared game record. Hosts should tell guests before adding them and should use no more identifying information than necessary.

What is stored, and why

Only what the app needs in order to work:

• Your account — email address, the name and username you choose, and your preferences (currency, whether your statistics are shown, whether you want invitation notifications). The email address is how you sign in and how confirmation and password-reset emails reach you; it is never used for marketing. If you choose Google sign-in, Google gives us your name, your email address, a link to your profile picture (which we do not use) and a Google account identifier, and nothing else.
• What you agreed to — when you sign up, a record that you confirmed you are 18 or over and accepted the Terms and this policy, with the version and the time. It exists so that agreement can be shown if it is ever questioned.
• Where you came from — if you reach the app through one of our own links (for example from our Instagram page), the labels in that link (source, medium, campaign, content, reference) are saved with your new account so we can see which of our posts bring people in. Nothing else is collected for this: no IP address, device details or tracking identifiers.
• Hosting allowance and referrals — your monthly usage, bonus balance, personal invitation code and records of qualifying referrals and game openings. These keep hosting allowances correct and prevent duplicate rewards. A private fingerprint of your normalised email helps detect repeat account creation. It is a hash, not an anonymous record; it is not shown to other players or used for advertising. The operator sees aggregate experiment measures such as verified referrals, hosting and completed games, not your financial results through that reporting screen.
• Your games — the games you host or are invited to: their name, stakes, poker variant and dates, the players in them, buy-ins, cash-outs, chip counts, any table rake the host records, tournament places and prizes, and the settlement each game works out. For each player the app also records when they joined and left the table, so it can show accurate time-at-table and hourly results. These are the records the app exists to keep.
• Solo sessions — games you log yourself from elsewhere (online, a casino, another home game): the date, times, venue, stakes, buy-in, cash-out and any expenses or side bets won you enter. They involve no one else and only you can see the sessions themselves, but their results count toward your statistics — and so toward group standings, if your statistics are shown.
• Guest players — if you add someone who has no account, only the name you type is stored, attached to that game. No contact details, and no attempt is made to identify them.
• Friends and groups — who you have connected with, and which groups you belong to, so games can be shared with them. Group membership also makes your overall statistics visible to the other members; see below.
• Private feedback — when you send a note, its text, category, optional rating, follow-up preference, account ID and submission date are stored so the operator can improve the app. Only the operator can read these notes. They are deleted with your account. Your choice to stop automatic feedback prompts is also saved to your account. Please avoid including passwords or sensitive information in feedback.
• How you open the app — whether you open Poker Game Manager from your phone’s home screen or in a browser, and whether the device is an iPhone, an Android phone or something else, with the time it was last seen. It is stored against your account, without your IP address or any device identifier, so the operator can see how many players use the installed app. It is deleted with your account.
• Your statistics — totals derived from your own finished games, so the app can show your history without recomputing it every time.
• Notifications (only if you turn them on) — the push address your browser or phone gives the app, so invitations and recorded buy-ins can reach you. Invitation alerts announce a new invitation. Buy-in alerts can include the host, game name and recorded amount, including on your lock screen according to your device settings. You can control these alert categories and in-app buy-in sounds separately. The device subscription is shared between categories; turning all background alerts off, or deleting your account, removes it. Private buy-in notification records are removed with the related transaction, game or account. Alerts acknowledge a ledger entry, not a transfer of money.

There is no advertising, no profiling, no tracking of you across other websites, and nothing is sold or shared for marketing.

Who else can see it

Someone in a game with you can see that game: its players, the buy-ins and cash-outs, and the settlement. They cannot see your other games or your friends list. Your email address is not visible to other users — the database prevents it being read by anyone but you.

Groups are different, and worth understanding before you join one. Everyone in a group you belong to can see your whole statistics row: games played, games settled, games won and lost, your lifetime profit or loss, your biggest single win and loss, and the total you have ever bought in for and cashed out. That is what makes a group leaderboard work, and it is the point of a group, but it does mean your running total — including how much you have staked across every game — is visible to every member, not only to the people you have actually played against. If you would rather it were not, turn off Show my statistics on your profile: your results keep being recorded, but they are hidden from your Stats page and from every group’s standings. Leaving a group also ends that group’s view.

Open lobby links. A host can create a link to a game that is in progress. Anyone who opens it and signs in can join that game — and so see it, like any other player in it — until the link expires (after 24 hours), the host revokes it, or the game ends. Only share a lobby link with people you want at the table.

Any signed-in user can find your name and username by searching for part of your name — that is how a friend request reaches you. Someone who already knows your exact email address can also find your account by entering it; they are shown your name and username, never the address, and partial email searches match nothing. Nothing about your games or your money is exposed by searching.

The operator can see aggregate figures about how the service is used — for example how many games were played in a week — but not through any screen that shows individual players, their results or their money.

Four companies process data on the operator’s behalf in order to run the service:

• Supabase — hosts the database and handles sign-in. Everything described above is stored there.
• Vercel — hosts the application itself and provides aggregate traffic and page-speed figures. That analytics is cookieless: it sets no cookie, does not follow you between sites, and does not build a profile of you.
• Resend — delivers the account emails you ask for (confirming your address and resetting your password). It receives your email address and the message, and nothing else.
• Cloudflare (Turnstile) — checks that sign-up, sign-in, password-reset and account-deletion requests come from a person rather than an automated attack. To do that it processes technical data such as your IP address and browser characteristics at the moment of the check. It is used only for this security purpose, not for advertising or tracking, and it sets no cookie on this site.

If you enable background notifications, the push service built into your browser or phone (run by, for example, Apple, Google or Mozilla) carries the notification to your device. The message is encrypted on its way. Invitation alerts announce a new invitation; buy-in alerts can include the host, game name and recorded amount. You can disable buy-in alerts separately and use your device’s notification-preview controls to limit lock-screen information.

These providers may process data outside the European Economic Area. Where they do, the transfer is covered by an EU adequacy decision or contractual safeguards approved under the GDPR. You can ask the operator for information about the safeguard that applies to your data.

Cookies

Poker Game Manager uses cookies to keep you signed in. There are no advertising, analytics or third-party tracking cookies. Signing out ends the application session; the session cookie is then removed or allowed to expire.

Only after you choose Use invitation, a first-party cookie named hosting_referral_opt_inremembers the invitation code for up to seven days so that account verification can credit the invitation. It is removed after a successful claim and is not refreshed by repeated visits. The code can also accompany your confirmation link if verification opens in another browser; that browser asks you to choose again before awarding a bonus. You can choose Continue without bonus instead; signing up and joining games still work. It is not an advertising identifier and does not track you across other websites.

The app also remembers a few small choices in your browser itself — for example that you dismissed a notice — so it does not ask again. That information stays on your device, is not sent anywhere, and is not used to track you.

If you arrive through one of our links, its labels are also kept in your browser for up to 30 days, only until you create an account, and are then removed. They are not sent anywhere before you sign up.

Buy-in alerts also keep a small local account/preference marker and recent receipt IDs. These prevent an old account's alert appearing after sign-out and stop duplicate alerts across browser tabs. This local store does not contain amounts or game names and is not used for analytics or advertising. Clearing site data removes it.

Your rights

If you are in the UK or the EU, data protection law gives you the right to see the personal data held about you, to correct it, to have it deleted, to object to how it is used, and to receive a copy in a portable form, and to ask for processing to be restricted. You can exercise any of these by writing to maxschuringa37@gmail.com. Requests are answered without undue delay and normally within one month. Referral eligibility and hosting allowances are checked automatically using fixed rules, not behavioural profiling. If you believe a result is wrong, contact the operator for a review and correction. You may also complain to the Dutch supervisory authority, the Autoriteit Persoonsgegevens.

Deleting your account. You can delete your account yourself, at any time, from your profile page. It asks for your password and for you to type your username, then removes your account: your email address, your friendships and group memberships, your notification settings and your personal statistics are erased.

What is kept, and why. A poker game is a shared record: your buy-ins are part of how everyone else’s settlement was worked out, so a game cannot simply have one player subtracted from it without making the other players’ records wrong. So where you played games with other people, your seat in those games is pseudonymised rather than removed — it stays as an anonymous “Former player” holding the same amounts, so the other players’ settlements remain correct, but it no longer carries your name, email or any link back to you. Games you logged as solo sessions are deleted outright. Games you host with no other registered participant are also deleted, including any guest records, whether the game is still active or already settled. Shared games involving another account are preserved; an active game is transferred to another registered participant when possible. Otherwise, account deletion is refused until you settle or hand off the game, so it is not left stranded.

Two honest limits. A pseudonymised game seat can, in principle, still be recognisable from its context (the date, the other players, the amounts), so it is pseudonymised rather than guaranteed anonymous. And if another host once added you to their game by typing your name as a guest, that text is their record and cannot be found automatically from your account. For either of these, or to see exactly what would remain, write to maxschuringa37@gmail.com and it will be dealt with by hand.

How long it is kept

Referral email fingerprints, including previous email addresses used by the account, are kept while the associated account exists. After account deletion, the fingerprint remains eligible for abuse checks for up to 180 days; expired entries are ignored and removed by an automatic daily cleanup. This limited period helps prevent repeated deletion and signup from generating new rewards. Hashes remain personal data and are protected in a private database schema. You may object or request earlier erasure using the contact address above; the operator reviews the need in your circumstances.

Minimal private credit, referral and creator receipts do not contain your email or name. They can survive account or game deletion to keep other users’ bonus balances correct, enforce one-time awards and prevent a host transfer or retry from charging twice. These pseudonymous records are not presented as anonymous and are reviewed with erasure requests. They are not used to contact you or for advertising.

Account details, friendships, groups, games and statistics are kept while the account is active because the service is designed to preserve a history. If you ask for account deletion, information that is no longer necessary is deleted or anonymised, subject to the shared-record limitation above and any information that must temporarily be kept to resolve a dispute, prevent abuse or comply with law. The operator reviews what remains as part of the request and does not keep identifiable data merely because it might be useful later.

Money

Poker Game Manager is a record-keeping tool. It does not handle, process, hold or facilitate any payment or gambling transaction, it does not offer any game of chance for money, and it takes no stake or commission. Money is settled directly between players, away from this app, exactly as it would be without it.

Because of that, there are no card details, no bank details and no payment records in this application. There is nothing of that kind to lose.

Children

Poker Game Manager is not intended for anyone under 18, and accounts are not knowingly created for them.

Changes

If this policy changes in a way that matters, the date at the top changes with it and the change is announced in the application.
